Privacy Policy

This policy explains what personal information the SolumWHS Field App collects, why, how it's stored, and what rights you have over it. It applies specifically to the Field App (sscfieldapp.com) — Solum Safety Consulting's other services have their own policies.
What we collect
- Account information: your email address and password (stored securely, never in plain text).
- Organisation information: your organisation's name, and your role within it (admin or member).
- Staff contact details: if you're added to an organisation, your phone number and emergency contact details (name and phone number) may be recorded by your organisation's admin.
- Photos: photos you take of hazards, incidents, or injuries through the app, along with an AI-generated description of what's visible in each photo.
- Location data: GPS coordinates, only when you actively submit a hazard report and only with your device's permission. Location is never tracked in the background.
- Incident and injury details: information you enter when completing an incident report, which may include details about workplace injuries.
Why we collect it
Solely to provide the service: letting you and your organisation record, track, and act on workplace safety information. We don't use this information for advertising, and we don't sell it to anyone.
Sensitive information
Injury details and photos of injuries may constitute health information under Australian privacy law. We treat this with particular care — it's only ever visible to members of your own organisation, never shared outside it, and access is restricted based on your role.
Who can see your information
Information you enter is visible to other members of your own organisation according to their role — a regular team member typically sees their own submissions, while an organisation admin (your WHS manager) can see everyone's, so they can act on hazards and incidents. Nobody outside your organisation has access.
How it's stored
Data is stored using Supabase, a cloud database provider. Photos are stored in access-controlled storage, private to your organisation. Reasonable technical safeguards are in place, including encryption in transit and role-based access controls enforced at the database level.
Data retention
We retain workplace safety records (hazard reports, incident reports, completed templates) for as long as your organisation's account is active, and generally for a minimum of 7 years afterward, consistent with common Australian workplace record-keeping practice — though your organisation should confirm the specific retention period that applies to your industry and jurisdiction. You can request earlier deletion of your personal account information (see below), though safety records your organisation relies on for compliance purposes may need to be retained by the organisation regardless of your individual account status.
Your rights
You can request to:
- Access the personal information we hold about you
- Correct inaccurate information
- Delete your account and associated personal information, subject to the retention note above

Changes to this policy
If this policy changes materially, we'll ask you to review and accept the updated version. The version date at the top of this page always reflects the current version.
